What’s YOUR Excuse for Not Using EDM?

Lately I’ve been taking an informal survey of the business managers that I meet who do not have a document management solution.  I’ve been asking them this question:  Why don’t you use document management?

Here’s my top ten list of the best (or worst?) answers I’ve been give:

  1. We’re so busy managing the business that we don’t have time to think about document management.
  2. We thought about it, but it’s just way too expensive.
  3. Too much trouble.
  4. We manage our documents in Word.  (REALLY???)
  5. It’s just not a priority.
  6. No time to learn a new system.
  7. We don’t want to invest money in something that we’re not sure about.
  8. I think all those “Cloud” solutions are a big hype.
  9. We have a good staff.  They can usually find any document that I need.
  10. No need.  We just pack-up all the paper files at the end of the year and move them into storage.

So, if your business revolves around paper (and what business doesn’t) and you’re not using document management, what’s YOUR reason?

What I’ve Learned about Skeptics

While the person offering the excuse really believes that it’s a legitimate reason for not moving forward, a lot of times, it’s just a general uncertainty about change, accompanied by lack of knowledge of the benefits the change could bring.   As someone who works in the document management industry, one of the things that I find so frustrating about excuses like those above is that document and content technology has been around long enough to have proven itself as a solution that enables companies of all sizes to further their critical business objectives more effectively and more efficiently.   Moreover, there is a wide range of proven products to choose from.

Rest assured that, if you’re in a management position, sooner or later someone higher up is going catch onto the benefits of Electronic Document Management and start asking about it.   There’s no time like the present to identify the bottlenecks within your own department and start researching ways that the right document management system can improve the workflow.   You might just become a corporate hero!

In addition to getting rid of paper, making workflow faster, smoother and more efficient, most companies find that adding a document management / content management solution actually results in cost reduction.  Furthermore, if your company is one that has to worry about compliance issues and risk mitigation, document security, disaster recovery or legal audits, document management can take the worry out of all these issues.  Finally you can make a good staff even better with easy collaboration and the mental lift that being part of a paperless, environmentally conscious company can provide. 

Ready to Stop Making EDM Excuses?

Sometimes the best way to overcome a nay-saying mind-set is to try it yourself.  And, one of the advantages of SaaS/Cloud document management solutions is the relative ease with which you can try out the software for yourself.  Unlike software that you have to download and install, there are no incompatibility issues to overcome in order to try it. 

Just make sure that you’re going to be able to use the functions that you really need to see.  Some free trials are limited versions.  It’s also a good idea to have a trial that uses your own documents, so you can have a “real life” experience with the trial.
