A Lesson from Wall Street About Back Office Paper Work

In the late nineteen-sixties, much like today, the stock market was booming.   By 1969, daily trading volume had hit 12,000,000 shares a day.  While that’s a drop in the bucket compared to the 1,786,805,986 shares that the NYSE traded on the last day of May, this year, there is one big difference.

Today trades are done via computer.  But, back in 1968, the NYSE was all about paper.  And the late sixties boom lead to a lot of unfinished paperwork.  In the period between 1960 and 1968, trade volume quadrupled, but work processes didn’t change.

So, what should have been great news for brokerage houses, ended up wrecking many of them because they just couldn’t keep up with the paperwork.  They literally died from being buried under paperwork.  In the words of the New Yorker Magazine “—offices were full of stock certificates, and trade documents were stacked halfway to the ceiling. Amid the chaos, dividend checks went unsent, trades were credited to the wrong accounts, and fraud spread; hundreds of millions of dollars in securities were stolen. And since the firms often didn’t process trades quickly enough, billions of dollars’ worth of transactions a month were simply cancelled. In 1968, the stock market started closing one day a week to let firms catch up on their work, but the brokerages’ bookkeeping woes caught up to them first, and more than a hundred firms went under. It took years—and the passage of an investor-protection bill—for the crisis to abate.”

What’s the Big Deal About Paperless Solutions?

I was having lunch with a friend the other day.  He knows that I work for a company that provides paperless solutions.  Out of the blue came the question, “What’s the big deal about paperless solutions?”

Now, we usually talk about more meaningful things when we meet – sports, beer, music, so I wasn’t quite sure where he was going with this line of questioning.

“What do you mean?” I said.

“I don’t know,” he said.  “It seems like I’ve been hearing a lot lately about paperless solutions.  Email pitches, Facebook ads.  Isn’t everything pretty much paperless now?  I mean – isn’t that what email is, and twitter.  And Word...our documents are paperless.  So, what’s the big deal?”

“Tell you what,” I said.  “I’ll write a blog post about it and you can read it, so we don’t have to spend our lunch hour talking about business.”

So…this blog post is dedicated to my friend, Tom, whose enquiring mind wants to know, “What’s the big deal about paperless solutions?”

Back in 2014, an article in Wired Magazine stated that, “organizations with an effective system in place to manage their information — whether in the cloud or in on-premise systems — operate at a vastly superior level of efficiency compared to those that still rely on an approach that harkens back to the days of physical file cabinets and traditional network folders.”   

This is as true in 2016 as it was when it was written.

Those of us who sell paperless cloud solutions and technology for a living sometimes forget how big of a step it can be for many small to medium businesses to move from paper-based systems to cloud-based paperless systems.  While big-business early-adaptors and the technologically savvy may have been “in the cloud” for ages, a lot of smaller organizations are focused simply on ensuring enough profit each year to keep the business going. 

While single-minded focus on core business does usually ensure that the business will thrive in the short term, that kind of hyper-focus may actually prevent a business from growing in the long term.  Companies that want to grow, that want to compete successfully with larger, more technologically advanced organizations in their industry often find that the only way to do so is by keeping up with the latest technology.

 What to Do When Paper Files Overwhelm Your Office

If you've ever spent time hunting through stacks of paper for a specific invoice or searching through paper files for a letter that you received last year, then you know the frustration that paper-based filing systems can bring.   Despite the prevalence of electronic documents, the fact is that paper is still a major part of the workflow in many organizations.  

While some consumers and customers may opt-in for paperless statements and on-line payment options, there are many who still prefer receiving paper notices via snail-mail, and for whom paper is the only option. Moreover there are some documents, such as deeds and contracts that require signatures with must at least originate in paper form, with the originals filed for safe-keeping.   For this reason, even though you may wish for a paperless office, it’s not likely that you’ll be able to go fully paperless for quite a while.

So, why not find a better way to handle the paper that you have to deal with?

How to Go Paperless

Many businesses say they want to go paperless.  But, often that’s as far as they go.  They talk about it, but they just never have the time to actually get to the part where paper disappears and processes take over.  Why is that?

We think it’s because, while many business owners and managers know intuitively that a paperless office will be more efficient and beneficial to their business in the long run, they’re just so busy keeping up with day-to-day business activities that they can’t find the time to undertake what they view as a major over-haul of the way they do business.

And, indeed, they’re not far from wrong.
