What You Should Know About Document Archival

Arguably, the U.S. National Archives and Records Administration may hold one of the largest collections of archived documents, including everything from historical documents to art work, veterans’ records to genealogy records, and much more.  Often times, when we think about archival documents, we think about the type of sweeping historical preservation for which the United States National Archives is known.    

But the truth is, that nearly every organization – from major corporations to small businesses -- has some type of archival documents that must be preserved:  (1) Incorporation papers, (2) Tax records, (3) Accounting files, (4) Customer information, (5) Personnel files, to name a few.  In this respect, then, most of us have our own version of document archival, which is nothing more than the storage and preservation of information.

But it takes more than an eye to revenue to succeed.  Even if you bring in very high revenues, if the revenues come with high expenditures attached, you’ll find that your business is not sustainable over the long haul.  Remember that PROFIT = REVENUE – EXPENSES.  This means that there are two ways to enhance profits:  (1) increase revenue in cost effective ways; and, (2) decrease expenses.

When we first wrote this article four years ago, the answer was a resounding yes, and AIIM's (Association for Information and Image Management) position on scanning was generally positive.  But, today, our advice is different:  Based on the needs of our customers, and backed by the numerous articles that AIIM has posted on their website, companies need far more than a mere scanning service today.

The Paperless Office – Is It Really Possible?

 The “paperless office” was a slogan first used in a 1975 Business week article to describe the office of the future.  While that article was prescient about having a PC on every desk, goine entirely paperless remains to this day an elusive goal.  While office automation does make paper redundant for some tasks like record-keeping and bookkeeping, and email and other electronic communications have lessened the flow of paper documents, the plain and simple truth is the offices still cope with paper every day.  There are still forms to fill out, advertisements to sort through, and even snail mail letters.  Some people still prefer a paper bill or invoice and write a paper check rather than doing an electronic payment.

The History of the “Paperless” Concept

As long ago as 1975, the paperless concept was being discussed.  In fact, in June, 1975, Newsweek Magazine published an article called “The Office of the Future.”   It was touted as an “in-depth analysis of how word processing will reshape the corporate office.”   In the article, Vincent E. Giuliano of Arthur D. Little, Inc. was quoted as saying that “1990, most record-handling will be electronic."

Fast forward to present day, and what do our offices today look like?  Is most of our record-handling electronic?  And can there really be a completely paperless office?  Or is the truth of “paperless” somewhere between row upon row of paper-crammed file cabinets and the sleek concept of the paperless “office of the future?”
